JOB SUMMARY:

The Executive for Volunteer Management & Development is responsible for end-to-end volunteer engagement, development and management activities. This includes coordinating volunteer recruitment, training, and retention; managing the volunteer lifecycle from screening to exit; working closely with colleagues to match programmes / organisation’s needs and volunteers’ interest and availability; maintaining databases of volunteers and volunteering activities; building relationships with volunteers and the organisations they are from; and evaluating volunteers’ experience.

Strong passion in volunteer development and mobilisation, strong communication and relationship building skills, ability to problem-solve, self-initiated and being a strong team player are critical to success in the role.

RESPONSIBILITIES:

  • Recruitment & Engagement

    • Develop and implement plans to attract volunteers with the right skills and interests for various roles and programmes.
    • Foster a positive and supportive environment to maintain volunteer motivation and commitment.
    • Work with the Programme Head to engage the YMCA Alumni.

     

    Training & Support

    • Implement orientation and training sessions to prepare volunteers for their roles.
    • Support the review and planning of volunteer training programmes, including but not limited to the YMCA–NUS Volunteer Service Management Programme.
    • Match volunteers align with their skills and interests, with programmes and/or organisation’s needs. 
    • Offer guidance and support to volunteers to ensure their success and satisfaction.

     

    Volunteer-Focused Initiatives & Relationship Management

    • Coordinate and lead volunteer training, engagement and appreciation initiatives including the annual YMCA – Lim Kim San Volunteers Awards Ceremony.
    • Work closely with Programmes and the Fundraising team to foster relationships with corporate partners, public agencies and other non-profit organisations to cultivate volunteering opportunities and experiences.

     

    Data Management & Evaluation

    • Together with the Programme team to maintain accurate records of volunteer data, participation, training, and hours.
    • Ensure adherence to Personal Data Protection Act (PDPA) in data management.
    • Evaluate and report on success of volunteer recruitment and initiatives.
    • Use data to inform volunteer management and development strategies and identify areas for improvement.
    • Experience in developing a Volunteer Management System is a plus.

     

    Policies, Procedures & Risk Management

    • Supporting update policies and procedures to guide volunteers, volunteer management and volunteer development effectively.
    • Conduct risk assessments and implement measures to ensure volunteer and participants / clients’ safety, and programme effectiveness.

  • Degree or Diploma with 2 to 5 years’ experience in volunteer management or direct volunteering.

JOB SUMMARY:

We are seeking an experienced and dynamic Project Manager to lead and oversee an Alteration & Addition (A&A) construction project. The Project Manager will be responsible for managing all aspects of the project, ensuring that it is completed on time, within budget, and to the required quality standards. This role requires strong leadership, excellent communication skills, and the ability to coordinate across multiple teams and stakeholders.

RESPONSIBILITIES:

  1. Project Planning and Execution
  • Develop and manage the project plan, including scope, timelines, resources, and budgets.
  • Oversee the preparation and submission of all required permits and documentation.
  • Define project objectives, deliverables, and performance measures.
  • Ensure adherence to construction codes, safety regulations, and quality standards.
  • To develop and implement the interim transition plan for YMCA staff and operations when A&A works are ongoing.
  • Ensure project budget is adequately funded.
  • All (internal and external) stakeholder engagement concerning the overall project execution is efficient.
  • Ensure the project is completed in a timely manner, within the stipulated budget and adhering to safety standards.

  1. Team Management
  • Lead and coordinate the work of project teams, including architects, engineers, contractors, and subcontractors.
  • Assign tasks and responsibilities, ensuring efficient collaboration and communication between all parties.
  • Provide guidance and support to the project team to resolve any issues or challenges that arise during construction.

  • With the assistance of the project team, compile the O&Ms and as-built drawings.

  • Coordinate the handover of the project to the owner stakeholders, including final inspections and documentation.
  • Conduct post-project evaluations to identify areas for improvement.
  • With the assistance of the project team, review and submit the final account for management’s approval.
JOB REQUIREMENTS:
  • Bachelor’s Degree in Construction Management, Civil Engineering, Architecture, or a related field.
  • Minimum of 8 to 10 years of project management experience in the construction industry, with a focus on A&A projects.
  • Proven track record of successfully managing and delivering projects on time and within budget.
  • In-depth knowledge of construction processes, materials, and legal regulations.
  • Proficient in project management software (e.g., MS Project, Primavera, etc.).
  • Strong leadership, problem-solving, and decision-making skills.
  • Excellent communication and interpersonal skills.
  • PMP, PRINCE2, or equivalent certification is an advantage.
  • Experienced in using project management tools such as Gantt Charts & WBS.
  • Ability to work under tight deadlines in a fast-paced environment.
Education
JOB SUMMARY:

You will be responsible for leading a team of Student Care Centre staff in the operations and management of daily after school activities for primary school children based on YMCA’s student care programmes.

RESPONSIBILITIES:

  • Manage overall planning, Centre operations and staffing.
  • Attend to Student-Parent matters with regards to activities, policies, enrolment, student’s academic and behavioural attitudes and achievements.
  • Supervise activities such as field visits and group discussions to stimulate students’ interests and broaden the understanding of their physical and social environment.
  • Involved in staff selection, development, delegation of duties and performance.
  • Prepare periodic reports on student enrolment, expenses, manpower, training and etc.
JOB REQUIREMENTS:
  • Minimum diploma in a relevant discipline.
  • At least 3 years’ experience in similar capacity, preferably in a student care/tutoring environment.
  • Candidates with more years of experience may be considered for Supervisor level.
  • Passionate and able to work with young children between 7-12 years old.

  • Assist the Supervisor to collect fees from parents and other payments when necessary.
  • Assist to prepare receipts for payments.

  • Assist to complete and submit GIRO forms to HQ.
  • Reimburse staff for Petty Cash expenditure

ENROLMENTS

  • Handle parents’ enquiries/record enquiries
  • Assist the Supervisor to call parents for registration/enrolment.
  • Assist and ensure that parents complete all fields in the necessary forms and submit essential documents to the relevant Government Authority.
  • Ensure additional subsidy forms are submitted by parents punctually and counter checks forms.

FILING & GENERAL ADMINISTRATION

  • Maintain accurate records for child enrolment/withdrawal and subsidy claims/other administrative records.
  • Ensure that all documents/records are prepared and filed according to guidelines set in order to meet ISO standards.
  • Prepare and submit Petty Cash/ Cheque Payment Vouchers
  • Prepare Purchase Orders and order for food and other items.
  • Assist Programme Staff in the photocopying of worksheets and other materials when required.
  • Conduct monthly stock check on items such as stationery, toiletries.
  • Maintain a well-organized and clean office.
  • Answer phone calls and practise good telephone etiquette.
  • Undertake any other duties as assigned by the Supervisor.

SUPPORT STAFF & OTHER MATTERS

  • Assist Programme Staff in the daily supervision of children’s safety and carrying out of the KCare Centre’s programme; especially for outdoor play and free play.
  • Help Programme Staff during field trips and ad-hoc activities.
